22. Privacy Policy Snippet for Businesses
Guidance for Businesses Using MyClientScore.com:
To help ensure compliance with privacy and consent requirements, we provide the following sample language for inclusion in your Privacy Policy or Terms of Service. This is a guideline only; you may modify it as needed to comply with your local laws and business practices. MyClientScore.com is not responsible or liable for how you implement or use this language.
Use of Customer Information for Ratings via MyClientScore.com
By agreeing to our Privacy Policy and Terms of Service, you expressly consent to our use of your email address and/or phone number to submit or retrieve a private, star-based rating about your interactions with us through MyClientScore.com. This process is used solely for internal trust, service insights, and risk management, and may not occur in every case. Ratings are non-public, contain no written comments, and are only visible to parties who already possess your contact information. Your contact data is never sold, published, or listed publicly, and is only shared as necessary for service delivery and trust verification with other businesses you have interacted with. You have the right to request access to, or deletion of, any rating data associated with your contact information at any time. You may also withdraw your consent for this processing at any time by contacting us directly. Your contact details may be retained as required to fulfill the purposes outlined above, subject to your rights under applicable privacy laws. For any questions, or to exercise your rights regarding your data, please contact us.
Note: As ratings are associated with hashed versions of your contact information, you must provide the same email address or phone number used in your interactions to access or delete your data. We will use a secure hashing process to match your information to our records, as we do not store your contact details in plain text.
Disclaimer: This sample language is provided as a general guideline only and does not constitute legal advice. Each business is responsible for ensuring its own compliance with applicable privacy laws and may modify this language as needed. MyClientScore.com is not liable for any consequences arising from the use or modification of this sample language.
23. Access to Reviews and Points System
Accessing and Submitting Customer Reviews:
In order to submit a review or access customer reviews on the Platform, a Business must be in possession of the customer’s email address and/or phone number, and may only use contact information that was provided directly by the customer through the Business’s own website contact form or other direct communication.
- The Platform operates a points or credits system, which is free to use. Businesses can acquire free points by submitting valid, honest reviews of customers using their email addresses. Free points are awarded only for reviews submitted only with a valid customer email addresses that pass our validation process; reviews submitted using phone numbers are not eligible for points.
- Points may also be purchased in small amounts to enable Businesses to access customer reviews, particularly if the Business has no previous customers and wishes to accelerate their search. We recommend purchasing only the amount of points needed, as purchases of more than 10 points at a time are not eligible for refunds.
- We encourage Businesses to obtain free points by submitting honest email-based reviews of their customers, rather than purchasing points in large quantities.
24. Points Deduction and Review History Editing:
- Points Deduction: One point will be deducted from a Business’s account only when a search for a customer results in a match and the review information is displayed. If the customer is not found in the database, no point will be deducted and the result will show as “not found.” If a customer is found but did not reach the threshold required to display, then no point will be deducted.
- No Duplicate Credits or Refunds: If a Business searches for the same customer (using the same email address or phone number) multiple times, points will be deducted for each successful match, and points are not credited again or refunded for repeated searches of the same customer.
- Review Editing: Businesses may edit a previously submitted review for a customer at any time. Editing a review does not result in the crediting of additional points, even if the review is associated with an email address.
- One Review Per Customer: Each customer email address or phone number can only be reviewed once by a given Business.
- Smart Contact Form: The smart contact form can replace the existing form on your website by copy/paste the provided html code linked automatically with your account. All incoming emails will remain private and automatically forwarded to the email address you used to register with MyClientScore.com. The form will continue to display the usual fields, regardless of your account balance, and will also show the customer’s score if it matches their email address, phone number, or both in the database and the current credit balance. When a match is found, 1 point will be deducted from your account balance automatically, and this change will appear on your dashboard the next time you log in. Even if a customer has only 1 review from 1 business, their score will still be displayed in the email results. This differs from the standard threshold dashboard display, where a customer’s score (even if is the same) only appears and deducts 1 point after being reviewed by at least 2 businesses. By using the smart contact form, you acknowledge that MyClientScore.com is not responsible for any delivery issues. While we’ve extensively tested the system and have never experienced a missed submission, you choose to use this feature at your own risk.
